The journey

Six steps. You decide — Velai runs the process.

The same journey for every role, run the same disciplined way. Your account manager owns it end to end; the product handles the tracking and drafting between human steps.

  1. 01

    Role intake

You describe the role in a 30-minute intake call: stack, seniority, salary range, language requirements. Your account manager turns this into a precise search brief and confirms which Blue Card salary threshold applies. You: brief and approve. Account manager: shape the brief, flag what is realistic.

  2. 02

    Vetted shortlist

You receive a shortlist of matched profiles — each checked for degree recognition (Anabin/ZAB), experience, language level, relocation readiness and salary expectations, with a match score and reasons. The product ranks and explains the matches; your account manager curates and verifies. You: review and shortlist.

  3. 03

    Interviews

Interview rounds run on your terms — technical, team, leadership. We coordinate scheduling across time zones and prepare every session with a role-specific briefing. You: run the interviews and decide. Account manager: scheduling, preparation, feedback loop.

  4. 04

    Offer & contract

You make the offer — the permanent contract (unbefristet) is between you and the professional; Velai is never the employer of record. The product checks the salary against the current Blue Card threshold; your account manager walks both sides through the terms and collects the signature. You: decide and sign.

  5. 05

    Visa & relocation

Your account manager owns the §18g application end to end: degree recognition, appointment at the German mission, documents, flights, registration. The product tracks every step and tells both sides what is due when. You: provide contract and workplace details. Account manager: prepare, book, chase. Authorities: decide.

  6. 06

    Onboarding

First working day — registration, bank account and health insurance are already settled, and probation (Probezeit) starts. Your account manager stays your contact through arrival and onboarding. You: run the onboarding. Account manager: handles everything around it.

Vetting

What we check before a profile reaches you.

Every profile in a shortlist has passed the same five-point vetting. What we cannot verify, we say so — you never inherit surprises.

  1. 01

    Degree & recognition

The university degree is checked against Anabin, the official database German missions use. Where the listing is unclear, a ZAB Statement of Comparability (Zeugnisbewertung) is filed before the profile is presented.

  2. 02

    Experience

Projects, stack and seniority are verified in a vetting conversation — we present what we can stand behind, with the references we could obtain.

  3. 03

    Language levels

English is confirmed for daily work. The German level is stated honestly on every profile — and relocation support such as German courses is agreed per employer and written into the offer.

  4. 04

    Relocation readiness

Willingness to relocate is confirmed directly with the candidate — notice period, family situation, documents in order — before anyone is shortlisted. You never interview someone who will not move.

  5. 05

    Salary expectations

Expected salary is captured up front and compared against the current Blue Card threshold — so offers do not fall over on money at the last step.

Clear lines

Who does what

Four parties, four clear roles. This is the same table your account manager walks through on the first call.

You (the employer)

Define the role, meet the candidates, decide, sign the contract, pay the salary — and run the onboarding. Everything else is ours.

Your account manager

One named person owns your hiring end to end: search brief, shortlist curation, recognition and visa application, relocation logistics, onboarding follow-up.

The product

Reminders, checklists and status tracking run in the product. Your account manager handles everything that needs judgement: documents, signatures, special situations.

Authorities

The German mission abroad and the Ausländerbehörde decide on permits. We book, prepare and follow up; the decisions rest with them — we never promise an outcome, only a complete application.

Where software helps — and where a human takes over.

You get both: the speed of the product and the judgement of a person who signs their name.

The product

Software

  • Ranks and explains matches across the whole network in minutes
  • Tracks deadlines, documents and appointments for every hire
  • Answers status questions instantly — what is due, what is missing
  • Prepares every interview with a role-specific briefing sheet

Your account manager

A person you know

  • Owns your hiring from the first call to the first working day
  • Verifies what software cannot: recognition, documents, readiness
  • Books every appointment — mission, ZAB, Ausländerbehörde
  • Takes the phone when something needs judgement — never a ticket queue

The product works inside Velai; every consequential step is confirmed by a person you can call.

Time expectations

Honest about time.

We do not quote magic numbers. What we can tell you is who controls which part of the clock — and that your account manager maps a realistic schedule on the first call.

In your control

Role intake, shortlist review and interview rounds move as fast as your calendar allows. Most delay in international hiring happens here — we keep the loop tight so it does not.

In ours

Vetting, recognition filings, application preparation and appointment booking — worked in parallel, without a queue. Your account manager coordinates both sides so nothing waits on a missing document.

Set by authorities

Visa and Blue Card processing times are set by the German mission and the Ausländerbehörde. They vary by case, location and season — we do not invent averages. Your account manager gives you a realistic window when dates are booked and updates you as things move.

Pricing

Pricing for your role, in writing, before anything moves.

Our incentive is a signed contract and a professional who actually arrives. We agree pricing with you in writing before any search starts.

  1. A first call, no commitment

We talk about your role, the profiles on file and an honest view of fit before you commit to anything.

  2. Pricing for your role

The exact model depends on the role. Candidates never pay to join, be reviewed or interview.

  3. Transparent on the first call

Your account manager walks you through the exact model on the first call and puts it in writing before anything is signed.

If a hire falls through, you are not left with nothing.

What if a visa is refused? Your account manager talks you through the options straight away and, if you want, prepares a new shortlist. The commercial terms for that case are set out in your agreement with Velai before you sign it.
